When instructors complete an online progress report, one of the most important items that they note is the reason code. The reason code indicates why the instructor assigned the grade or progress status being reported. Possible reason codes include "Failed to attend class", "Contributed strongly to class discussions", and "Scored poorly on examinations".
Clicking Campus Tools, Advising, Progress Reports (Institution), Reason Code Maintenance allows you to display, define, and/or modify the progress report reason code values currently defined for this institution.
From the Reason Code Maintenance screen you can:
Add a new reason code: Click New.
Edit an existing reason code: Click the Edit icon under Edit/Delete.
Delete a reason code: Click the Delete icon under Edit/Delete.
Note that the affect that your changes will have depends on which institution you selected on the previous screen. If you selected a specific institution, your changes will apply only to that institution. If you selected consortium, your changes will apply to all institutions within the consortium.
The table displayed lists the reason codes currently defined for this institution, as well as any reason codes defined for the consortium. Note that the consortium-level reason codes display at the top of the table so that you will not unknowingly redefine a reason code that already exists. You cannot edit a consortium-level reason code unless you are authorized to use the Progress Report Tool at the consortium level.
If you opt to add a new reason code, the Reason Code Maintenance screen redisplays with the following options:
Enter reason code: Enter an abbreviation to be associated with this reason code. Your abbreviation should be short and descriptive. You can use up to 10 characters. Sample values for this field would include GOOD_PROJ for good job on projects, FAIL_EXAM for failed examinations, and ATTEN_PROB for attendance problems. The reason code is used internally by CNAV; however, this code also appears in some later maintenance screens to identify the reason being modified. Therefore, please make sure that you assign a reason code that makes sense to you and clearly conveys the reason to which it is assigned. Also note that this field is a one-time entry field. Once you assign a reason code, you cannot edit it.
Enter reason description: Enter the text of the reason code as you wish it to appear in the drop-down list of reasons provided for faculty members completing a progress report.
Positive or negative?: Use the provided drop-down list to indicate whether this reason code indicates a positive or negative situation.
Enter display order: Enter an integer number that indicates the sequence in which you want this reason code to display within the drop-down list of reasons provided for faculty members completing a progress report. CNAV automatically increments this number as you add new reason codes.
After entering values in all fields, click Submit.
To return to the Progress Report Maintenance menu, click Back.
If you select Edit, the Reason Code Maintenance screen redisplays with the following options:
Reason code: This field displays the reason code abbreviation associated with this reason code. You cannot edit this field.
Description: Use this field to modify the text of the reason code as it will appear in the drop-down list of reasons provided for faculty members completing a progress report.
Pos/Neg flag: Use the provided drop-down list to indicate whether this reason code indicates a positive or negative situation.
Display order: Use this field to change the integer number that indicates the sequence in which you want this reason code to display within the drop-down list of reasons provided for faculty members completing a progress report. CNAV automatically increments this number as you add new reason codes.
After making all desired changes, click Update.
To delete a reason code, simply click the Delete icon next to the code to be deleted. Note that the deletion is performed immediately. CNAV does not ask you to confirm the deletion.
