On this screen, you can create a new timesheet type. For this new timesheet, you can specify the following fields:
Name: Enter the name to be associated with this timesheet type. If you wish, you can use the same name as the pay schedule. To avoid confusion, however, we suggest that you do not do so.
Description: Enter a short, but useful, description of this type of timesheet.
Activation date: Enter the date on which you want this timesheet type to become available. Use the format mm/dd/yyyy. Note that you must enter a 4-digit year. If you omit this field, the default value is today's date.
Deactivation date: Enter the date on which you want this timesheet type to expire and become unusable. Use the format mm/dd/yyyy. Note that you must enter a 4-digit year. If you omit this field, the default value is 45 years from the Activation date.
Color: Each timesheet added can be assigned a color to mimic the color-coding used for paper timesheets by most payroll offices. To select the color that you wish to associate with this timesheet type, click the Color Picker icon (). Click on the color you wish to select, then click OK. CNAV will insert the numeric code that corresponds to the color you picked into Color field. Note, however, that the color displayed in the bar on the left of this screen does not change until you click Submit to enter all your changes on this screen.
Limit: This field allows you to impose limits on the timesheet entries for this type of timesheet. You can impose limits on the number of hours or the dollar amount earned. To view current timesheet limits, click the View icon. To set timesheet limits, or edit existing limits, click the Edit icon. CNAV will display the Timesheet Limits screen.
Default In/Outs: Enter the default number of In and Out columns that you wish to appear on the timesheet.
Meals: Enter the number of Meal fields that you wish to appear on the timesheet.
GL number: Enter the number of the general ledger account to which hours reported on this type of timesheet should be charged.
Screen layout: Select the timesheet layout you wish to use for this timesheet from the provided drop-down list.
Pay schedule: Select the pay schedule to be used for this timesheet from the provided drop-down list.
Casual employee: Tick this checkbox if casual employees will be authorized to use this type of timesheet.
Can exceed hours: Tick this checkbox if employees using this type of timesheet will be allowed to exceed the Max hours specified in the Limit field above.
Union: Tick this checkbox if this timesheet will be used by Union employees.
Use alternate supervisors: Tick this checkbox to allow alternate supervisors to approve timesheets of this type when the primary supervisor is absent.
Primary supervisor: Click Edit to access the Chooser. Use the Chooser to select the person or group who will serve as the primary supervisor for all timesheets of this type. For security reasons, this group is initially set to No_One.
Alternate 1: Click Edit to access the Chooser. Use the Chooser to select the person or group who will serve as the first alternate supervisor for all timesheets of this type. The first alternate supervisor approves timesheets when the primary supervisor is absent or unavailable. For security reasons, this group is initially set to No_One.
Alternate 2: Click Edit to access the Chooser. Use the Chooser to select the person or group who will serve as the second alternate supervisor for all timesheets of this type. The second alternate supervisor approves timesheets when both the primary supervisor and the first alternate supervisor are unavailable. For security reasons, this group is initially set to No_One.
Processor: Click Edit to access the Chooser. Use the Chooser to select the person or group who will be authorized to perform payroll processing for timesheets of this type. Usually, the processor is a Payroll Office administrator. For security reasons, this group is initially set to No_One.
Users: Click Edit to access the Chooser. Use the Chooser to select the group that will contain all persons required to submit timesheets of this type. (Before entering this value, you must actually create this group. For information about creating groups, read the help on Creating a New Group.)
To clear this form and start again, click Reset.
After making all desired entries, click Submit. CNAV redisplays the Timesheet Types screen.
